Understand the two different uses of CV
In many academic contexts, a curriculum vitae records a broader scholarly history. It can include research interests, publications, presentations, teaching, grants and academic service, where applicable. Those headings should reflect actual work, not empty categories inserted to make the document look substantial.
In other recruitment contexts, “CV” is used for the shorter document that summarises relevant employment evidence. This variation in terminology is why a rigid rule such as “resume means two pages, CV means everything” can mislead an applicant.

What to put in a concise employment document
Start with relevant contact details. Then present qualifications, experience, internships or projects in an order that helps the reader assess the vacancy requirements. Use clearly dated entries and specific descriptions of your contribution.
Include a professional profile only if it contributes useful context. Avoid adding generic objectives, unrelated hobbies or long lists of tools you cannot demonstrate. If a language is relevant, describe capability honestly using the language-skills guide.

What to put in an academic CV
Read the institution’s requested headings first. Depending on the application, relevant sections may include education, appointments, research, teaching, publications, presentations, awards and service. An early-career applicant may have a shorter record than an established researcher; there is no need to invent missing activity.
Distinguish published papers from accepted, submitted or in-progress work. Use the true author order and correct title. Do not present a dissertation chapter as a published journal article unless that is its actual status. If a preprint is included, label it appropriately.
Teaching entries can identify the course, institution, period and your role. A teaching assistantship should not be relabelled as sole responsibility for an entire course. In research descriptions, explain your contribution and avoid exposing confidential data or unpublished material you are not authorised to disclose.
Prepare referees according to the application instructions. Do not list someone’s private phone number or imply their agreement without checking with them. A referee list may be a separate requested document rather than a default section in every CV.
Convert an academic CV into a job resume
Make a copy first. Read the target job description and select relevant evidence from the longer academic record. Translate unfamiliar academic context into clear work descriptions while preserving the underlying facts.
For a fictional analyst application, a research project might supply evidence of data cleaning, documentation and presenting findings. A concise bullet could explain those tasks rather than reproducing a long bibliography. Retain enough context for the reader to understand what you did and where.
Move the full publication list to a separate attachment only when requested or appropriate. Avoid treating every publication as relevant to every vacancy. The aim is to help the reader assess a particular role, not to conceal your academic background.
Expand a resume into an academic CV
Return to your verified master record. Add the relevant academic sections and fill them from records, certificates, publication pages and appointment details. Merely increasing the font size or adding an “Academic CV” heading does not change the document’s purpose.
Check dates across sections. Ensure a conference presentation and a journal article are not described as the same output without explanation. Keep different types of work distinguishable so the reviewer can assess each on its own terms.
If you have no scholarly record yet, follow instructions for student or early-career applicants. Relevant coursework, a dissertation or laboratory experience may be appropriate when requested, but they should be labelled accurately.
A fictional academic-to-industry edit
Suppose a graduate’s academic CV lists a dissertation title, a supervisor and a methods paragraph. The target operations vacancy asks for careful record handling and clear reporting. The applicant should first identify which tasks they actually performed, then decide whether those tasks provide relevant evidence.
A fictional academic entry might describe “a dissertation examining survey responses using a cleaned dataset and descriptive summaries.” An employment version could say: “Checked a survey dataset for missing entries, documented corrections and prepared descriptive summaries for a dissertation.” This changes the emphasis without turning university work into a commercial project.
The applicant should keep the university context visible and be ready to explain the methods. They should not claim that the work improved an employer’s revenue, satisfied a client or handled production-scale data when none of those things happened. The conversion should translate the evidence, not upgrade it.
Rebuild missing academic detail from records
When moving in the other direction, identify what the shorter resume left out. Gather verified titles, appointment periods and output records before adding new sections. Check whether the institution requests a separate publication list or statement so that you do not confuse one document with another.
For a fictional applicant whose resume says “research assistant,” an academic entry might need the project context and the actual contribution. That requires checking the appointment and work records, not guessing from the title. If the applicant assisted with data collection but did not design the study, the new wording should retain that boundary.
Audit consistency between versions
Put both documents beside the application form and inspect dates, qualifications, employer names, role titles and publication statuses. Different emphasis is expected; contradictory facts require correction. Keep a note explaining intentional omissions from a concise resume when the form requires a fuller record.
Check that a qualification described as in progress in one document has not become completed in another. Confirm that a team project remains a team project and that an accepted output has not become published without evidence. If a number appears in only one version, record where it came from and whether it is actually needed.
