CV vs Resume: Choose the Document Your Application Requires

The difference between a CV and a resume depends partly on how the recipient uses those terms. In academic applications, a CV often presents a fuller record of research, teaching and scholarly work. In employment applications, “CV” may simply mean the focused document describing your relevant skills and experience.

Choose the document by reading the application instructions and the work being assessed. Do not decide solely from the words “government,” “private company” or “research organisation.” This guide provides a decision process and six fictional cases so you can prepare the right evidence without producing unnecessary documents.

Compare the purpose before the page count

An employment resume selects evidence relevant to the advertised role. An academic CV may need research, teaching, publications, presentations and other scholarly activities, depending on the audience. A prescribed application or biodata form collects the particular information requested by that recruiting body.

These are practical distinctions, not universal legal definitions. Penn's resume guidance distinguishes focused resumes from academic CVs and notes that terminology varies by country. Read the recipient's requirements before adopting a generic template.

Page count is a consequence of the relevant evidence and the instructions, not the definition of the document. A long resume is not automatically an academic CV, and a short academic CV does not become invalid merely because an early-career applicant has fewer outputs.

Use a four-step decision process

Step 1: Read the actual request

Identify every required item: CV or resume, prescribed form, cover letter, statement, publication list, certificates or references. Record the file type, any length limit and the submission route. Do not treat a general career article as permission to ignore those instructions.

Step 2: Identify what will be assessed

Read the role responsibilities or programme criteria. If the assessment centres on relevant employment tasks, a focused employment document may be appropriate. If scholarly contribution is central, an academic CV may be requested. Some processes require both a CV and separate evidence.

Step 3: Check whether a format is prescribed

A recruiting body may require entries in its own application form. An additional document does not substitute for that form. For government applications, follow the notification and later official updates rather than assuming all posts require a detailed CV.

Step 4: Clarify a material ambiguity

If the requested document is unclear and the distinction affects what you will submit, ask through the authorised contact channel. Quote the reference number and ask a specific question. Do not send confidential supporting documents merely to ask which format is wanted.

Fictional enquiry: For vacancy [reference], the instructions request a CV. Would you prefer a focused employment document, or an academic CV including research outputs? Please also confirm whether the prescribed form must be submitted separately.

Replace the brackets with the actual reference and adapt the question to the ambiguity. Follow the confirmed answer and keep a record of it.

Six fictional application cases

1. A private-company operations vacancy asks for a CV

The duties concern scheduling, records and follow-ups. The instructions request a document describing relevant experience and skills, with no publication list. Prepare a focused employment document that supports those duties. Do not add academic sections simply because the employer used “CV.”

2. A university appointment requests a CV and publication list

Prepare the requested academic CV and provide the publication list in the stated form. Distinguish published, accepted and in-progress work accurately. Include teaching or research contributions relevant to the appointment without inventing outputs to fill a section.

3. A PhD applicant applies for a nonresearch industry role

The role asks for a resume showing project coordination, analysis and communication. Select relevant evidence from the applicant's academic work and explain the tasks in accessible language. A complete list of scholarly outputs may distract from the requested work unless it is relevant or required.

Harvard's PhD resume and CV guidance discusses adapting documents to academic and nonacademic applications. The degree alone does not determine which document every employer wants.

4. A government examination uses an online application

Complete the official application according to its instructions. Do not send a resume to an informal contact as if it replaces the application. If no supporting CV is requested, creating one is not a substitute for completing required fields and documents.

5. A fellowship requires a two-page CV plus a statement

Respect the stated limit and keep the statement separate. Select the evidence relevant to the fellowship and use the statement to answer its own questions. A generic long CV should not override a specific two-page instruction.

If the portal collects referee details separately, follow that process. Do not assume a references section is always required in the CV, and obtain permission before providing someone else's contact details.

6. An employer asks for a resume and a portfolio

Use the resume to explain relevant experience and the portfolio to show authorised samples. Label student, personal and professional projects accurately. Check access permissions before submission. A portfolio link does not make qualifications or employment dates optional.

Keep one accurate evidence record

Maintain a private master record containing genuine qualifications, work dates, projects, outputs and relevant supporting links. Create an application version by selecting the evidence the recipient needs, rather than repeatedly inventing a new history.

When shortening a document, remove irrelevant detail without changing facts. Keep formal job titles and dates consistent. Describe how academic tasks relate to industry work, but do not present a classroom project as professional employment or claim leadership of work you only assisted with.

When expanding an academic CV, add real scholarly evidence rather than padding an employment resume with generic sections. A paper you read belongs in your learning context, not your publication list. Conference attendance differs from presenting a talk or poster.

Avoid common document-choice errors

Do not assume that every government post prefers an academic CV or that every private employer rejects one. Research-oriented roles can exist in different sectors, and government processes can collect information through prescribed forms.

Do not apply an invented universal maximum of three pages. Follow any supplied limit and make every included section useful. Conversely, do not make a document longer merely because “CV” appears in the request.

Do not rename a file without checking its contents. CV.pdf and Resume.pdf do not establish that the document contains the requested evidence. Use a clear filename, check the exported file and confirm that you have attached the intended version.

Audit accuracy with the resume mistake checklist. A correctly chosen document still needs readable text, working links, consistent dates and complete required information.

Frequently asked questions

Are CV and resume interchangeable in India?

They can be used that way in employment contexts, but do not assume the recipient means the same thing in every application. Academic and prescribed-document requirements need separate attention.

Is an academic CV always better for a graduate?

No. Choose the document the opportunity requires and present the relevant evidence. More sections do not automatically make an application stronger.

Should I submit both just in case?

Submit the requested documents. Unsolicited duplicates can create confusion or violate attachment instructions; clarify a genuine ambiguity instead.
