CV Format Checks: Sections, Dates and Final File Reading Order

A CV format needs to make the document understandable in its final submitted form. A file can look attractive in an editor but lose text, confuse dates or change reading order after export. This guide provides six practical format tests and an original worked layout repair. It focuses on checking an employment CV file, rather than choosing between an academic CV and a resume or supplying another set of candidate templates.

Follow the application's instructions first. If it requests an academic record, prescribed form, particular file type or page limit, those conditions control. What a format check can establish

Harvard's resume guidance supports clear, factual and consistent presentation of relevant evidence. It is university writing guidance, not a mandated Indian CV layout. The file tests and fictional repairs below are original practical checks. They can reveal visible problems; they do not prove how an employer's software will rank or interpret a document.

Use a checkable standard: can a reader identify the section, setting, dates, personal contribution and relevant output? Avoid claims that one template is “100% ATS compliant” or that every recruiter uses a fixed number of seconds to read a CV. A clean layout helps communication but cannot guarantee an interview.

Test 1: headings describe the actual contents

Use headings that help distinguish employment, internships, academic projects, education and other relevant experience. A section called “Experience” can contain different settings if each entry is clear. Do not let a heading turn a college exercise into employment or a short course into a professional qualification.

Read only the headings and first line of each entry. Can you tell what kind of evidence follows? If the same project appears under several headings, decide whether the repetition adds information. An output can be linked from its main entry rather than copied into a second section with a different title.

Test 2: dates belong to the correct entry

Keep dates close to the role, course or project they describe. Use a consistent level of detail appropriate to your records and the employer's instructions. Do not move a date into a floating box that looks as if it belongs to the next entry. Check chronological order and the actual completion status.

Fictional weak layout:

[next organisation name]

June–August [year]

The date's association is unclear. A clearer arrangement places role, organisation and dates together, then the contribution underneath. This is a structural repair, not permission to change the dates themselves. If a course is ongoing, identify it as ongoing rather than formatting an expected date as a completed qualification.

Test 3: the evidence remains readable without decoration

Review the file at an ordinary viewing size and on a smaller screen. Inspect line spacing, contrast, margins and heading hierarchy. Decorative icons should not be the only way to communicate a phone number, section name or skill. If a reader cannot understand the document after the graphics are ignored, add meaningful text.

Do not use a rating bar to claim a skill level you cannot explain. “Spreadsheet filters used in a records project” communicates a task; “Excel 95%” leaves the scale undefined. If an employer requires a designed portfolio, follow that requirement separately. An employment CV and a visual portfolio may serve different purposes.

Test 4: exported text stays selectable and ordered

Export using the employer's requested file type. Reopen the exported document rather than trusting the editor preview. Select and copy the text into a plain-text view. Check whether the name, headings, dates and entries appear in a sensible order and whether important content is missing.

This is a simple diagnostic. A PDF reader's extraction is not the employer's ATS, so a successful test does not guarantee parsing. If a multi-column layout interleaves dates and contributions, simplify it or try another supported export. If the file consists only of a scanned image, check whether that meets the instructions and whether the recipient can access the text.

Test 5: links and contact details work as supplied

Open each portfolio or project link from the final file. It should reach the intended public material without requiring access that the reader does not have. Remove links to drafts, private folders or unavailable pages. A readable label can explain what the link contains; the CV should still make sense if the reader does not open it.

Check phone and email details carefully. Do not publish identity documents, private addresses or confidential files merely to make a link accessible. Permission to share a project is separate from knowing how to create a public URL. If a work sample cannot be shared, describe the contribution without exposing the restricted material.

Test 6: the submitted version is identifiable

Use a clear filename that follows the application's naming rule. Keep the vacancy and the exact submitted file together with the submission date. Confirm that the file attached to an email or uploaded to a portal is the final version, not an earlier draft with another employer's name.

Reopen the uploaded preview if the system provides one. Inspect all pages, including the bottom of the last page, where an extra line or blank page can appear. Check any size limit and format requirement before submitting. A filename ending in “final” does not establish that the content was actually reviewed.

Worked repair: a project entry with mixed context

Imagine a fictional candidate, Kavita, has a supervised academic project. Her first file places the title in a left column, the date in a right-side text box and a contribution statement below a graphic. When copied to plain text, the contribution appears under the next employer entry. The content also says “managed reporting” even though Kavita prepared a worksheet for faculty review.

A repaired text layout could read:

Academic Project: Records Review

Prepared a worksheet comparing supplied records, listed incomplete entries and presented the checking process to the faculty supervisor. Final decisions about uncertain records remained with the supervisor.

The repair solves two different problems: the setting and date stay with the entry, and the contribution no longer overstates authority. Kavita should then export and rerun the reading-order check. The fictional wording is an example, not a claim that every candidate has this project.

A tick means you performed the check, not that an employer approved the file. If a check fails, record the problem and correction. Do not lower the standard simply because a template describes itself as professional.

Combine formatting with factual review

Ask a reviewer to identify a role, date and contribution without your explanation. If they cannot, inspect the file rather than assuming they missed the design. When a reviewer requests a new section, check whether it serves the actual vacancy. You do not need to add every suggested heading to every CV.

Common questions

Does a plain-text check prove ATS compatibility?

No. It can reveal missing or badly ordered text in that extraction. The employer's software may behave differently.

Are two columns always wrong?

No universal rule is established here. Check the requested format and whether the final file remains readable and ordered.

Should I use the same CV for academic and employment applications?

Can formatting compensate for missing experience?
