An experienced professional's resume should make relevant work easy to assess: responsibilities, progression, methods and contributions you can explain. Years in employment do not automatically imply management experience, and a senior title does not justify invented business results.
This guide focuses on choosing and organising evidence from an established work history. It includes a fictional example of progression within one employer and a practical editing worksheet. For general file and upload checks, use our ATS resume format guide.

Begin with the role you are applying for
Read the vacancy and identify the work, level of ownership, essential qualifications and required tools. Compare those requirements with your actual history. A technical individual contributor and a people manager may have similar tenure but need different evidence.
Make a private inventory before writing. List each role, dates, responsibilities, projects, decisions and outputs. Mark which information you can share and which details need checking. This inventory can be longer than the submitted resume; its purpose is to help you select accurate material.
MIT's resume guidance provides a general reference for presenting relevant experience. The examples below are original editorial illustrations, not research findings about hiring outcomes. Employer instructions govern the application.
Keep preparing

For a continuous employment history, recent work followed by earlier roles is a practical starting point. A skills overview can help the reader locate your specialisms, but it should not hide when or where you used them.
A useful order is contact details, optional focused summary, relevant skills, work experience, education and additional qualifications. Adjust the order when a mandatory qualification or recent retraining is central to the application. Do not add a separate section merely because a template includes it.
Use the same date style throughout. Include role titles and employer names accurately. Describe contract work, internships, consulting or self-employment as they occurred rather than converting them into permanent positions.
Write a summary that the evidence supports
A summary should identify your relevant background and strengths without repeating the whole resume. Do not call yourself an executive, architect or team leader unless the description fits your actual responsibility. Avoid estimating experience by adding overlapping roles twice.
A fictional example for an individual contributor is: “Operations professional with experience maintaining reporting workflows, checking exceptions and coordinating handovers. Uses spreadsheets and documented procedures to support recurring service operations.” This sample makes no claim about people management or measured savings.
For a manager, include the type of team or work you actually managed. A team size can be useful if accurate and permitted to disclose; it is not a required number to invent. Our headline editing checklist helps audit titles and summary claims.
Show progression within one employer
When you held different roles at the same organisation, group the employer and distinguish the positions and dates. Explain changes in responsibilities. Do not imply a promotion if the change was a lateral transfer or simply a renamed title.
This is a fictional layout, not a real employment history:
[Candidate name]
[Contact details and relevant profile link]Relevant background: reporting operations and documented handovers.
Example Services — fictional employer
Operations Coordinator | April 2023–September 2026
Coordinated the recurring reporting schedule and maintained an exception log for supervisor review.
Prepared handover notes describing unresolved items and the responsible contact.Operations Associate | July 2020–March 2023
Checked submitted records against the team's checklist and documented missing information.
Updated process notes after approved changes.Education: [actual qualification, institution and completion status]
Skills: [tools used, linked to the evidence above]
The example separates positions without fabricating revenue or assuming that coordination meant line management. Replace it with your own verified dates and contributions. An internal title change can be described plainly if clarification is needed.
Replace generic duties with defensible contributions
Start with the task, your action and the output. Include relevant scale, constraints or results when supported. A description without a percentage can still provide strong evidence if it explains what you owned and how you worked.
For example, the fictional phrase “responsible for reports” can become “checked incoming records for missing fields, recorded exceptions and prepared the weekly report for supervisor review.” It explains the workflow without claiming that the applicant independently redesigned the business.
For a measured outcome, check the baseline, comparison period and calculation. A drop from 20 errors to 15 is five fewer errors, or a 25% reduction against the original count; it is not automatically a 25% productivity gain. This arithmetic example is fictional. Only use a comparable claim if you can explain the actual data and your contribution.
Do not attribute a company-wide result solely to yourself because you participated in one project. Distinguish “contributed to,” “implemented” and “led” according to the work. Confidential numbers should remain confidential unless sharing is authorised.
Decide how much older experience to retain
Recent relevant roles usually deserve more detail, while older unrelated work can be summarised. Keep enough information to preserve an understandable chronology and meet any requested history period. Do not silently remove a role if the application specifically asks for all employment.
There is no universal two-page maximum determined by five years of experience. Use enough space for relevant evidence and readability, then cut repetition. An academic CV or a prescribed recruitment form has different needs; see our CV versus resume decision guide.
Handle transitions and gaps accurately
For a change in field, connect existing tasks to the target role and identify actual new learning. Keep the dates and job titles truthful. A training project can show relevant practice, but it does not turn your previous employment into experience in the new profession.
If a gap needs context, a brief factual description may be enough. You decide how much personal detail is appropriate unless the application requires specific information. Our employment-gap guide provides wording ideas; verify your dates against your own records.
Make skills and qualifications specific
List tools and methods relevant to the vacancy that you can discuss. Replace an unsupported “expert” label with a concrete use, such as preparing reconciliations or maintaining a reporting query. Remove obsolete or unrelated items if they distract from the target work.
Record qualifications, awarding bodies and completion status accurately. Do not list an expired credential as current or convert enrolment into completion. Include references only as requested, and obtain consent before sharing another person's contact details.
Run an evidence audit
Review the following questions before polishing the layout:
Target responsibility:
Resume entry that supports it:
My specific contribution:
Date, output and method checked:
Numbers I can substantiate:
Details that need permission or removal:
Remaining gap I should not disguise:
Compare the submitted resume with your application form, letter and public profile. Open the final exported file and check page breaks, links and selectable text. Record the version used for each vacancy so you know which claims an interviewer may ask about.
Frequently asked questions
Does an experienced resume have to show leadership?
Show leadership when it occurred. Experienced individual contributors can demonstrate depth and ownership without claiming people-management duties.
Must every bullet contain a number?
No. Use verified numbers when helpful; otherwise explain the task, method, output and responsibility clearly.
Can I use one resume for different senior roles?
Keep a factual master history, then select evidence relevant to each role. The emphasis can change; the underlying facts should remain consistent.
