A resume declaration is a short statement confirming that the information you have supplied is accurate. Include one when the employer or application format asks for it. When no declaration is requested, you can use the space for relevant education, projects and skills instead of adding a line automatically.
This guide provides examples and a decision checklist. It also explains the difference between a resume declaration, an application-specific declaration and an affidavit. If you only need a short format to adapt, visit our resume declaration format page.
Check the instructions before choosing wording
| What the application says | What to do |
|---|---|
| No declaration mentioned | Do not assume one is compulsory; prioritise the requested resume content |
| “Include a declaration” without prescribed text | Use a short, accurate statement and any requested name, date or signature fields |
| Exact declaration wording supplied | Follow that wording and the specified placement or submission method |
| A separate declaration form is supplied | Complete that form; a resume line is not a substitute |
| A handwritten declaration is requested | Follow the handwriting, language, upload and file specifications in that notice |
| An affidavit or attested document is requested | Follow the separate document requirements; do not treat a resume statement as equivalent |
Check the job notice, application portal and any attached form. If they conflict, ask the recruiting organisation through its published contact route. Do not assume that a format used by another employer applies to your application.
For example, the IBPS RRB 2024 notice specified a handwritten declaration upload. That historical example illustrates an application-specific requirement; use your own recruitment cycle's notice for current instructions.

These are illustrative examples, not an official employer format. Replace bracketed fields only when those details are required. Use exact employer-supplied wording in preference to these samples.
1. A simple general statement
I confirm that the information provided in this resume is true and accurate to the best of my knowledge.
This keeps the statement focused on the information in the document. It does not add promises about future performance or make unsupported claims about your qualifications.
2. A statement referring to education and experience
I confirm that the education, experience and other details stated in this resume accurately reflect my records to the best of my knowledge.
Use this only after checking those records. If you are a fresher, “experience” can include accurately labelled internships or projects; it should not imply employment you did not have.
3. A statement with fields requested by the employer
Declaration
I confirm that the information provided in this resume is
true and accurate to the best of my knowledge.
Name: [Full name]
Date: [Actual date, in the requested format]
Place: [City, if requested]
Signature: [Complete as instructed]
Delete fields the employer does not need. A typed name, scanned signature and handwritten signature are different submission methods; use the method requested rather than assuming they are interchangeable.
4. A declaration for an internship resume
I confirm that the academic details, projects and experience described in this resume are accurate to the best of my knowledge.
Distinguish completed work from ongoing work. If a project was done by a team, describe your contribution in the resume rather than relying on the declaration to clarify it.
5. A concise statement in Hindi, when permitted
मैं पुष्टि करता/करती हूँ कि इस बायोडाटा में दी गई जानकारी मेरे ज्ञान के अनुसार सत्य और सही है।
Choose the wording appropriate for you and follow the language specified by the recruiting organisation. Do not translate an official prescribed declaration unless the instructions allow it.
What to check before declaring information accurate
Education
Match the institution, qualification and completion status to your records. If results are pending, state that clearly. A completed course is different from a degree, professional certification or licence.
For marks, preserve the label used in your records. Do not present CGPA as a percentage without the institution's conversion rule. If the application asks for a particular calculation, follow its instructions and retain the working.
Experience and projects
Check employer names, job titles and start/end dates. List an internship as an internship. Label personal projects and coursework accurately. Do not describe a career break as employment; our employment-gap guide provides truthful alternatives.
If you mention results, make sure you can explain how you obtained them. A percentage copied from a sample resume is not evidence of your own achievement.
Skills and certificates
List skills you can discuss or demonstrate. State the correct certificate title and provider. Do not add “certified” because you watched training videos or started a course. Mark unfinished learning as ongoing where it is relevant.
Contact and personal details
Check the phone number, email and portfolio links. Include only the personal information requested or useful for the application. Do not add an Aadhaar number, bank details or sensitive document copy merely to make a declaration appear more formal.
Where to put the declaration
When the resume format leaves the placement to you, a short section after the main content is a practical option. Keep its typography consistent with the rest of the document. Do not let the statement split across pages if you can avoid it.
If a prescribed form contains a declaration box, complete that box. If the application asks you to sign each page or upload a separate declaration, follow that instruction rather than relying on a final resume paragraph.
For a readable digital document, use ordinary text and clear headings. See the ATS-friendly resume guide for file-format and upload checks.
Resume declaration, application declaration and affidavit
These documents may serve different purposes:
- Resume declaration: a short confirmation about the resume's contents.
- Application-specific declaration: wording supplied by the recruiting organisation, possibly with a separate checkbox, form or handwritten upload.
- Affidavit: a separate document with its own formal requirements when requested.
The exact legal effect depends on the document and circumstances. A generic resume line does not establish that a separate document requirement has been fulfilled. Do not arrange notarisation or attestations simply because a generic template includes those words; read the actual requirement first.
Common mistakes to correct
Calling a declaration mandatory for every government or banking job
Check the individual recruitment instructions. A requirement in one application does not establish a rule for an entire sector.
Copying a declaration that refers to the wrong document
If the statement refers to an application form, certificates or a specific notification, do not paste it into a different document without checking the intended use.
Adding a date that does not match the submission
Use the actual signing date where a date is requested. Do not leave a sample date or automatically use your graduation date.
Treating the declaration as proof
A statement does not replace a marksheet, employment record or other evidence requested by the employer. Correct inaccurate content before signing; adding “to the best of my knowledge” is not a reason to leave a known error in place.
Filling the page with repeated formal wording
A short statement is easier to read. More legal-sounding sentences do not improve the evidence in your resume. Use prescribed wording when supplied; otherwise avoid unnecessary promises or claims about penalties.
Common questions
Do freshers always need a declaration?
Follow the employer's instructions. Being a fresher alone does not tell you what a particular application requires.
Is a typed name enough?
Only the recruiting organisation's instructions can settle its submission requirements. If a signature is requested, check the permitted method.
Can I use the same line for every application?
A general statement may be reusable when wording is not prescribed, but check each application for a separate form, exact text or different signing requirements.
What if I discover an error after submitting?
Use the employer's correction process or published contact route. Explain the specific correction accurately. Do not quietly change a saved copy and assume the employer received it.
