A cover letter gives you space to connect a particular vacancy with evidence from your background. Its layout should make that connection easy to read. There is no single mandatory cover-letter format for every employer in India: start with the vacancy's instructions and any prescribed template.
This guide focuses on the attached letter's structure, readable presentation and final editing. For the message used to send an application, use our separate application email samples. A letter and an email can share content, but you do not need to send several copies of the same text unless requested.

Decide whether a letter belongs in this application
Check whether the employer requires a letter, allows an optional upload or provides a statement field instead. If the portal accepts only a prescribed application form, complete that form; an unsolicited letter does not replace it. Record any word limit, file type, size limit or requested questions before drafting.
An optional letter is most useful when it adds relevant context: a project connecting you to the work, a reason for a transition or an explanation the resume cannot express clearly. Do not create a second document solely to repeat every resume bullet.

For an attached document, a practical sequence is contact details, date, recipient where known, role reference, greeting, opening, evidence, role connection and closing. Keep the same name and contact details as your resume. Include a portfolio link only if it contains relevant work that you are permitted to share.
The recipient can be the named hiring contact or the recruitment team. Do not guess a person's name, title or gender. Verify the organisation name and exact vacancy title; a template's previous employer can easily remain in a copied document.
An address block may be useful for a printed letter or when requested. It need not occupy space in every digital application. Avoid adding sensitive identifiers or a full residential address merely to make the page look formal.

The wording is a starting point. Do not preserve claims that are untrue simply because they fit the template. A useful final letter sounds like your own account of the work you can substantiate.
Write an opening that identifies the application
State the role and reference number if one exists. Add one relevant connection between your background and the work. There is no need for an exaggerated claim that you are the ideal candidate or for a long account of discovering the vacancy.
For a fictional applicant moving from customer support to service operations, an opening might be: “I am applying for the Service Operations Associate position. My customer-support experience includes documenting recurring enquiries and coordinating follow-up, which connects with the role's process-tracking responsibilities.” This illustrates wording; it is not evidence of a real applicant's experience.

Select one or two evidence paragraphs
Choose evidence that answers an important requirement. Explain what you did, how you checked the work and why it matters for this vacancy. You can describe a useful contribution without inventing revenue, percentages or customer outcomes.
A fictional paragraph could say: “For a coursework project, I organised simulated enquiries into a tracking sheet, defined categories and checked duplicate records. I documented the process so another student could repeat it.” The value is in a specific, honestly labelled task. It does not imply a live business system or paid employment.
If a result was measured in actual work, retain the period and method needed to explain it. If it was a team result, identify your contribution. If the information is confidential, choose a permitted description; do not publish private client material as proof.
Make the role connection specific
Read the vacancy and a reliable organisation page. Pick a relevant detail you can verify, such as the product area or type of responsibility. Avoid generic praise about an employer's innovation, culture or growth unless you have a reason to discuss it.
Explain how your evidence connects to that detail. If you are changing field, identify transferable tasks and remaining gaps without pretending you already have every required skill. The career-change worksheet can help you clarify that connection before writing.
Keep presentation readable
Use an ordinary readable font, consistent spacing and clear paragraphs. A concise page is a useful drafting target for many applications, but a specified word or page limit governs. Do not shrink text until the document becomes uncomfortable to read.
Use a subject or role-reference line when it helps identification. Keep links legible, and check that the exported document contains selectable text. Inspect the final file rather than assuming the editor view and export look identical. Follow the required file format; neither PDF nor Word is universally correct for all portals.

Edit before sending
Read the letter against the vacancy, not only for grammar. Check the role, organisation, recipient, dates, project status and every factual claim. Remove unresolved placeholders. Confirm that the phone number, email address and links belong to you and work as intended.
Read the resume beside the letter. A project described as coursework in one document should not become employment in the other. Avoid adding salary expectations, photographs, identity documents or references unless the application calls for them.
