A job application email should help the recipient identify the vacancy, understand your relevant evidence and find the requested documents. It does not need a clever subject line or a long autobiography. Follow the employer's instructions first: some roles accept email applications, while others require a portal submission even when you have spoken to a recruiter.

Pick evidence relevant to the vacancy. A software applicant might describe a tested API; a teaching applicant might describe a supervised lesson. Do not insert imaginary percentages merely to make the paragraph sound impressive.

You do not need to repeat the entire resume. If you include an outcome, explain your contribution accurately and avoid exposing confidential client information. Salary expectations belong in the email only when requested or relevant to an agreed conversation.

Follow the stated timeline and any “no follow-up” instruction. Otherwise, one concise message after a reasonable interval is a practical option. Do not keep contacting different people to force a response. Email-open indicators are not reliable evidence that a hiring manager read or rejected your application.
Check attachments and links before sending
Use the file type and size requested by the employer. A text-based PDF or DOCX may be suitable when accepted; neither is universally required. Give the file a clear name such as [Name]_Resume_[Role].pdf, open the attachment yourself, and confirm that you selected the final version.
If you share a portfolio, test its access without being logged into your own account. Avoid links that require permissions the recruiter does not have. Do not attach identity documents, payslips, bank details or a large bundle of certificates unless a verified process actually requests them.
Check the recipient domain independently when a message asks for sensitive information. Avoid payment requests tied to a guaranteed job. A familiar display name does not establish that an address belongs to the employer.

Frequently asked questions
Should the email contain the full cover letter?
Follow instructions. A short email with a separate requested letter is often sufficient. If the employer wants the cover letter in the email body, include it there and avoid an unnecessary duplicate attachment.
Can I use the same message for every role?
Keep a reusable structure, but change the vacancy reference and evidence. Sending a polished message about unrelated skills does not establish fit.
Can a subject line guarantee a reply?
