Write the email body the employer actually requested
An email cover letter is an application argument delivered in the body of an email when the employer requests that approach. It differs from a short delivery note accompanying a separate letter. Before writing, check which version is required, whether a resume is requested and which verified address or application route you must use.
This guide works through one original email-body letter, its resume attachment description and a consistency repair. The organisation, applicant and instructions are invented. The example is not a sent email and contains no real recruiter address. It does not establish that any employer accepts applications by email.
Purdue's email etiquette guidance supports a meaningful subject, clear short paragraphs, an appropriate greeting and a signature. Its attachment guidance recognises the case where a recruiter requests a resume. Apply those narrow principles alongside the actual submission instructions. They do not make every unsolicited attachment acceptable or establish how a particular mailbox screens applications.

For this exercise, Cedar Records Studio is an invented organisation seeking a Junior Documentation Assistant. Its fictional notice specifies:
- Put the substantive cover letter in the email body.
- Use the subject “Application: Junior Documentation Assistant — CRS-JD-02”.
- Attach one resume named ApplicantName_Resume.pdf.
- Send through the application email route supplied in that same notice.
No real destination is supplied here. The brief does not ask for a separate cover-letter attachment, identity documents, payment or a link to a private file-sharing folder. It does not specify the actual email's delivery or employer response. Those are actions and outcomes that have not occurred in this exercise.
The fictional applicant, Imran, completed a BCom in 2026. For a supervised college exercise, he copied twelve invented receipt entries into a provided table and flagged two entries with missing receipt dates. His tutor checked the table, and he submitted the checked version for that exercise. This was academic practice, not bookkeeping employment or work with real customer records.
Imran also independently wrote a one-page description of the entry-and-flag procedure. No tutor review or adoption of that separate description is supplied. His resume must distinguish it from the checked table.
The complete original email-body letter
The following text shows a subject, body and signature. The final attachment line is an example of how to identify the requested resume, not proof that a file exists or has been attached. Replace placeholders only with your own appropriate application details and actual file.
Subject: Application: Junior Documentation Assistant — CRS-JD-02
Dear Hiring Team,
I am applying for the Junior Documentation Assistant role identified
as CRS-JD-02. I completed my BCom in 2026. Your supplied notice asks
for documentation evidence, so I would like to describe a supervised
college exercise and a separate independent practice document.
In the college exercise, I entered twelve invented receipt records
into a provided table and flagged two entries whose dates were not
supplied. My tutor checked the table before I submitted the checked
version for that exercise. My role was entry and flagging within
those supplied records; this was academic practice rather than
bookkeeping employment or work with customer accounts.

The email body carries the application argument. An additional attached letter is not needed for this invented instruction. A real employer's different request would change the delivery arrangement, not the facts about the applicant's work.
Match the body to the resume before sending
Suppose the first resume draft contains this sentence: “Bookkeeping assistant managing twelve customer accounts.” The email correctly calls the work a supervised college exercise with invented receipts. The contradiction cannot be solved by making the email more enthusiastic.
Replace the resume sentence with an accurate description:
Supervised college exercise: entered twelve invented receipt records into a supplied table, flagged two missing dates, incorporated the tutor's check and submitted the checked table for the exercise.
That version agrees with the body about context, ownership and the finite result. It does not create a job title, customer relationship or proof of accounting expertise. The independently written procedure belongs in a separate project entry with its unreviewed status rather than being folded into the tutor-checked artifact.

This is an editorial check for the example. It does not prove an actual applicant's documents are accurate. An applicant must compare their own records and remove unsupported descriptions.
Inspect the actual attachment and delivery fields
For the invented brief, the requested attachment is a resume PDF. Before a real submission, open the actual chosen file and compare its text with the body. Check that the file name matches the instruction and that you selected the intended version. A sentence saying “attached” does not attach a document.
Verify the destination using the employer's official application process. Check the subject, recipient and any prescribed reference. Do not add people to the message simply because you found their names elsewhere. The employer's requirement determines whether another recipient or document is appropriate.
Do not infer delivery, receipt or acceptance merely from finishing the draft. If your email service later shows a sent message, that establishes a different event from a recruiter having read it or reviewed the attachment. Report those outcomes only when you have the corresponding evidence.
Sensitive identity documents and payment details are outside this fictional instruction. A new request for them needs its own verified context. Do not bundle extra personal material into an application to make it seem more complete.
Adapt when the instruction changes
For a separate variation, suppose the fictional notice instead asks for a short delivery note with a resume and a separate cover-letter PDF. The substantive body above would no longer be the requested format. You would place the evidence in the attached letter and use a brief note identifying the role and requested files. This variation is not a later employer reply or a claim that the original notice changed.

Frequently asked questions
Should the email body always contain the full cover letter? Follow the actual instruction. This example does because its supplied brief expressly requests a substantive body letter.
Must I attach both a resume and a cover letter? This fictional brief requests one resume attachment. A different employer may require different files; do not treat this example as a universal rule.
Can I say I managed customer accounts because my practice used receipt records? Only if that accurately describes actual work. Invented academic receipts do not establish customer accounts or employment.
Does this format guarantee a recruiter response? No. It makes the supplied application readable and internally consistent. Delivery, review and selection are separate events not established by a draft.
