Format a complete letter around the submission instructions
A professional cover letter needs readable structure and accurate evidence. The right format also depends on how the employer asks you to apply. An attached letter, a letter entered into a form and a substantive email body may need different arrangements. Start with that instruction before choosing a template.
This guide provides one complete original attached-letter example and an audit of its claims. It is not a mandatory format for every Indian employer or an assurance of an interview. The employer, candidate and application instructions in the example are fictional. Contact details are placeholders, not an invitation to send an application.
Harvard's resume and cover-letter guidance supports relevant, factual evidence and a letter tailored to its position and organisation. Purdue's business-letter guide describes a block layout with left alignment and paragraph separation while recognising that organisational requirements can differ. Those points support a readable starting layout, not universal rules about Indian addresses, fonts, titles or signing methods.

An invented organisation, Maple Learning Desk, advertises an Assistant Content Coordinator role. Its fictional brief asks for:
- A resume and a separate cover-letter PDF through its own application form.
- A cover letter addressed to the Hiring Team, identifying the role reference MLD-AC-04.
- A short explanation of relevant drafting or coordination work.
- A contact email at the top of the letter; no full residential address required.
These instructions are supplied solely for this exercise. The brief provides no requirement for a handwritten signature, photograph, government identity document or particular font. It does not authorise sending materials to an email address found elsewhere. The form route is part of the invented scenario; no real form is supplied here.
The fictional candidate, Kavya, has an awarded BA in English, completed in 2026. During a supervised college activity, she drafted descriptions for six handouts from supplied notes. The letter is intentionally modest about outcomes. Concrete evidence does not require claiming organisational impact. A supervisor's check and a submission are meaningful facts; neither automatically means approval for publication, employment or a successful event.

This table explains the scenario's choices. It is not a reason to add a role reference that your actual employer never supplied. Likewise, another application may prescribe an address block, a portal field or a different recipient. Follow that requirement while keeping the evidence truthful.
Audit an unsupported sentence before formatting it
Suppose Kavya initially writes: “I managed a successful publishing campaign and increased engagement.” The supplied facts do not establish campaign ownership, publication or an engagement measurement. A polished PDF would not repair those factual gaps.
A supported replacement is: “I drafted descriptions for six handouts from supplied notes, incorporated my faculty supervisor's check and submitted the checked drafts to the activity coordinator.” That sentence identifies the work, input, reviewer and actual next action. It does not borrow responsibility for the whole event.
Use the same audit on every claim: what was the context, what did you personally do, what was observed, and what is not established? A number should describe a real count or measurement you can explain. Do not invent a percentage because a template asks for quantified achievements.
The practice tracker should remain separate from the supervised task. Combining them into “managed fourteen published assets” would count unlike items as completed publication and change the nature of both examples. Keep the six descriptions and eight invented tracker entries in their own contexts.
Check the final file and the matching resume
For this fictional brief, a separate PDF is required. After adapting a letter to a real application, open the actual exported file and check its text, paragraph spacing and page breaks. A correct working document does not prove that the exported attachment is readable or the portal accepted it.
Compare qualification and experience wording with your resume. If the resume says a degree is ongoing, the letter cannot claim it has been awarded. If one describes independent practice and the other calls the same work paid client delivery, resolve the factual mismatch before submission.
Check any actual file-name, size and format instructions. Do not infer a universal PDF requirement or claim the system “passes ATS” from visual formatting. A simple readable layout can support comprehension, but this guide has not tested a particular employer's software or screening process.
