Cover Letter Examples: Four Original Letters With Evidence Notes

Useful cover-letter examples show how a candidate connects actual evidence to a particular role. They should not supply an invented employer, achievement or qualification for you to copy into an application.

The four letters below are original and fictional. Each has a stated evidence record and a brief annotation explaining its choices. Replace names, role details and experience with your own facts, and follow the vacancy's submission instructions. These are illustrative letters, not verified successful applications.

Read an example alongside its evidence

Before drafting, identify the role, the organisation and the relevant requirement. Then choose one or two actual contributions that support your interest. A letter can explain the connection without repeating every resume entry.

Harvard's cover-letter guidance supports tailoring to the position and using relevant, specific evidence in a brief letter. The letters here are our original writing; they are not copied university samples or Harvard-endorsed applications.

Example 1: an inventory-support fresher

Fictional evidence: Leena has completed a commerce degree. In a supervised college exercise, she reconciled a small stock list with recorded receipts and noted discrepancies. It was coursework, not employment or a measured reduction in a business's losses.

Original letter:

Dear Hiring Team,

I am applying for the advertised Inventory Support Trainee role. I have completed a commerce degree and would like to develop practical record-checking experience in the responsibilities described in your notice.

In a supervised coursework exercise, I compared a stock list with recorded receipts and prepared a discrepancy note for review. The exercise helped me practise following a defined checking process and distinguishing confirmed entries from items needing clarification.

I would welcome the opportunity to discuss how this foundation relates to the trainee role and what further training it requires. I have attached the materials requested in the advertisement.

Why the evidence fits: The letter links a specific checking exercise to a trainee responsibility. It keeps the setting and scope explicit. It does not claim warehouse employment, inventory-system expertise or an independently approved financial result.

To adapt it, identify your own relevant task and the actual vacancy requirement. If you have not completed the degree, change that status. If no attachments are requested, change the closing rather than claiming to have supplied them.

Example 2: a library-assistant applicant

Fictional evidence: Omar volunteered at a community reading event, where he maintained a book-return list and directed unresolved questions to the organiser. He has no professional librarian qualification and is applying only to a role whose stated requirements he meets.

Original letter:

Dear Hiring Team,

I am writing to apply for the Library Assistant vacancy described in your advertisement. I am interested in its record-maintenance and reader-support responsibilities.

During a community reading event, I maintained the return list using the organiser's instructions and flagged entries that needed confirmation. I also helped participants find the appropriate contact when I could not answer a question myself.

This experience gave me a practical starting point in maintaining clear records and recognising when a query needs escalation. I would like to discuss how I could build on that foundation within your procedures. My application includes the documents specified in the vacancy notice.

Why the evidence fits: The contribution is relevant without being relabelled as professional library employment. The letter does not imply that volunteering replaces a prescribed qualification. It explains escalation instead of claiming knowledge of every reader query.

When adapting it, check the actual qualification requirements before applying. Use the organisation's name and verified role title. Do not invent a named hiring manager when the advertisement provides no appropriate contact.

Example 3: adjacent experience for a customer-coordination role

Fictional evidence: Pooja has worked in office coordination, maintaining appointment records and passing unresolved requests to a supervisor. She is applying for customer coordination, not a regulated advisory role, and has not owned company sales results.

Original letter:

Dear Hiring Team,

I am applying for your Customer Coordination vacancy. The advertised responsibilities include maintaining requests and coordinating follow-ups, which connect with my office-coordination experience.

In my current role, I update appointment records, confirm the details available to me and pass unresolved requests to the responsible supervisor. I keep pending items visible so that another colleague can understand what has been completed and what still needs a decision.

I would be interested in learning your customer-request process and the boundaries of the advertised role. I can discuss the work in more detail without sharing private client records. Please find the requested application materials attached.

Why the evidence fits: This letter makes a transfer between tasks visible. It does not turn office coordination into sales management or claim that the applicant has already mastered the prospective employer's process.

Use a genuine contribution from your own work. If you are not currently employed, adjust the tense and status. Keep confidential records out of the application; a clear description can establish context without uploading another person's information.

Example 4: a technical-support trainee

Fictional evidence: Hari has practised troubleshooting a small local test environment during training. He kept an issue log and checked whether a proposed change reproduced the expected result. He did not administer an employer's production system.

Original letter:

Dear Hiring Team,

I am applying for the Technical Support Trainee role advertised by your organisation. I am interested in its emphasis on investigating issues, documenting work and escalating unresolved problems.

During a training exercise in a local test environment, I recorded the reported issue, reproduced it and documented the result after a proposed change. I also noted which questions remained unresolved rather than marking the issue complete without a check.

This was a supervised learning exercise, and I would welcome the chance to build practical experience through the training described in your advertisement. My resume and the requested supporting materials are included with this application.

Why the evidence fits: The letter identifies a relevant investigation habit and keeps training distinct from production responsibility. It does not promise expertise in a named platform that the candidate has not used.

Before adapting it, confirm that the advertisement actually describes training. If it requires prior production experience, this example does not establish that requirement. Match the stated role instead of assuming every “trainee” title has the same conditions.

Compare the letters by contribution

Each letter chooses a different evidence link. Use this original comparison when deciding what belongs in your own draft.

None of these letters needs an invented percentage to explain a contribution. If you have a real measured outcome, define it accurately and disclose only information you are permitted to share. Do not borrow a result from another sample.

Adapt the example sentence by sentence

Check every statement that names a qualification, employer, task, result or document. Replace it only with an actual fact. Then check the reason for applying: does it refer to a responsibility in the real advertisement rather than a generic compliment?

Keep the closing consistent with the submission route. An attachment, portal text box and email may have different instructions. If the employer specifies a form or eligibility evidence, a cover letter does not replace those requirements.

Questions applicants ask

Are these real successful letters? No. They are explicitly fictional examples written to demonstrate evidence choices. They establish no selection rate or employer preference.

Should I use a letter when none is requested? Follow the actual application instructions and available route. Do not force an extra file into a process that does not accept it.

Can I write about a project or volunteering? Yes, when relevant and accurately labelled. It does not automatically substitute for prescribed employment experience or a professional qualification.

How should I begin? Choose one role requirement, one genuine contribution and the correct submission format. Draft a brief letter that connects them, then verify every claim before sending it.
