Cover Letter Templates for India: Five Application Formats

Choose a cover-letter template by the application channel and the evidence you need to explain. A letter attached to a formal application has a different job from a brief application email or an enquiry about possible openings. This library offers five original fillable layouts with instructions for adapting each one. They are teaching templates, not letters associated with verified offers or a promise of recruiter approval.

Before using any layout, read the employer's directions. A required form, character limit, document checklist or instruction not to send additional material takes precedence. These templates are intended for employment applications in India where that type of communication is accepted. They do not establish a national convention or replace prescribed government recruitment procedures.

Prepare the evidence before selecting a layout

Collect the exact role title, vacancy reference if supplied, application channel, two relevant examples and a truthful explanation of your interest. For each example, record the setting, your personal action and an output or result you can substantiate. Team achievements need a clear statement of your contribution. If the result was not measured, leave out a numerical improvement rather than making one up.

The narrow writing principle supported by Yale's cover-letter resource is to connect relevant skills and experience to a particular employer and role. The templates, adaptation checks and fictional scenarios below are original. The university resource is general writing guidance, not an Indian hiring rule.

Template 1: a requested attachment

Use this when the vacancy explicitly asks for a separate letter. Include contact or address details only as appropriate to the instructions and delivery method. Every bracketed item is a prompt, not wording to retain in the final version.

Dear [named recipient or hiring team],

I am applying for [exact role title and reference, if supplied]. The position's focus on [specific responsibility from the vacancy] interests me because [truthful connection to your experience or career direction].

In [project, employment or other accurately named setting], I [personal action]. This produced [verified output or measured result, if available]. The experience is relevant to your requirement for [requirement] because [clear connection].

I also [second relevant action with context]. My responsibility was [accurate boundary], and I worked with [team or supervisor context when needed].

My resume includes further details. Thank you for considering my application; I would welcome the opportunity to discuss [relevant contribution or evidence].

[Name]

The two evidence paragraphs need not have identical length. If one example establishes the connection adequately, remove the second rather than adding filler. Do not replace the prompts with claims such as “excellent leadership” unless the reader can see what you actually led.

Template 2: a short application email

This layout assumes the employer accepts applications at the address you have verified. Do not guess an employee's personal email or send a mass message to unrelated staff. Follow any specified subject line.

Please consider my application for [role]. I have attached [only the requested documents].

My experience in [accurate setting] includes [relevant action or output]. This relates to the vacancy's requirement for [specific responsibility]. I am interested in the role because [brief, researched and truthful reason].

Thank you for your consideration.

[Name and appropriate contact information]

If a full cover letter is required as an attachment, do not paste an additional long letter into the email unless requested. The email can identify the application and enclosures. Check that each attachment is present, opens correctly and belongs to this application. A file named for another employer creates confusion even if its contents are otherwise accurate.

Template 3: a portal text box

A portal may count characters rather than words. Draft outside the form, inspect the limit, then paste and check the saved text. The layout below avoids address blocks that may consume space without adding useful evidence.

I am applying for [exact role]. My experience in [setting] included [specific personal action] and [verified output or relevant learning]. This connects to your requirement for [requirement].

I am particularly interested in [specific work described in the vacancy] because [truthful reason]. A second relevant example is [action and context], where my responsibility was [boundary].

I would welcome the opportunity to discuss these examples. My application includes [documents or information actually supplied].

For a tight limit, prioritise one defensible example over several labels. Do not compress the text into a string of keywords or remove the context that makes a claim honest. Preview the submission because some systems flatten paragraph breaks. A saved draft is not always a submitted application; check the confirmation screen.

Template 4: a real, permitted referral

Use a referral opening only if the named person has agreed that you may mention them. Knowing an employee socially is not the same as being formally referred, and a contact cannot guarantee selection. Ask what wording accurately reflects the interaction.

Dear [recipient],

[Contact name], who [accurate relationship], suggested that I review the [role] vacancy and has agreed that I may mention our conversation. I am applying through [the required channel].

My relevant experience includes [personal action in a clearly named setting]. I [verified output or result], which relates to [responsibility in the vacancy].

I am interested in [specific aspect of the work]. My resume provides further details, and I would welcome an opportunity to discuss my experience.

[Name]

Do not add a claim that the contact endorsed your skills unless they actually did and permitted that description. Do not imply that a referral bypasses the employer's application process. If permission is unclear, use the ordinary application layout and omit the person's name.

Template 5: an accepted speculative enquiry

Use this only where the organisation welcomes enquiries about future opportunities. It is an enquiry, so do not pretend that an unadvertised vacancy exists. Do not send confidential work samples just to attract attention.

Dear [appropriate team],

I am enquiring about possible opportunities involving [specific type of work]. I understand that this message is not an application for an advertised position.

My experience includes [accurately described action and setting]. I have produced [shareable output] and am developing [honest current capability]. I would be interested in work involving [specific contribution].

If you accept expressions of interest, please let me know the appropriate process or public careers page. Thank you for your time.

An unanswered enquiry does not establish that there are no vacancies. Return to official vacancy channels and avoid repeatedly contacting the same person without an invitation. A speculative message should remain proportionate to the recipient's stated process.

Adapt the template without creating new facts

Replace every bracketed prompt, then check the resulting statements against your resume. Align titles, dates and tools. Remove any company detail you cannot verify through a credible source. Do not invent praise about the employer's culture, claim a long-standing interest you do not have or convert classroom work into commercial employment.

Final submission checklist

Read the document in its final format. Confirm the organisation, role, recipient, reference and attachments. Check that links are public, work samples are shareable, contact details are current and placeholders are gone. Keep the submitted version with the vacancy and submission confirmation. That record helps you discuss the exact evidence the employer received.

Common template questions

Can I use one template for every employer?

You can reuse a layout. Recheck its channel, evidence and opening for every application. Reusing unsupported generic praise does not make it relevant.

Should I include a photograph or sensitive personal details?

Use only information relevant to the application and required by its legitimate instructions. A template does not create a requirement to disclose sensitive information.

Is a referral template stronger than the others?

It describes a different situation, not a guaranteed advantage. Use it only for a real, permitted reference and still provide relevant evidence.

What if no letter is requested?

Check whether one is accepted or optional. Do not substitute a letter for the required form, resume or other documents, and respect instructions that exclude additional material.
