Where Document Verification Sits in Each Track

This chapter places document verification (DV) in the recruitment sequence of every body the book covers. For each track it answers three questions: who runs DV, when the originals are first examined, and which date anchors a claim. Document lists, certificate formats and annexure rules belong to Chapters 2 to 9; here the job is placement and timing. Abbreviations follow the notices: CBE or CBT for the computer-based test, PET and PST for the physical efficiency and standard tests, PE&MT for the physical endurance and measurement test, DME/RME for the detailed or review medical examination, CAPF for the Central Armed Police Forces, RRB and RRC for the Railway Recruitment Boards and Cells, DGRR for the Directorate General of Recruiting, NDA for the National Defence Academy, SSB for the Services Selection Board, PwBD for persons with benchmark disabilities, and MTS, JE, Steno and CGL for the SSC notices on Multi-Tasking Staff, Junior Engineer, Stenographer and Combined Graduate Level.

KarmSakha preparation topics covered

  • The stage map: who verifies originals, and where DV falls in each body's process
  • Commission exams: DV after the final result, and the dossier hand-over to user departments
  • Railway Recruitment Boards: DV calls set at 1:1 and the separate appointing authority
  • SBI Probationary Officer: verification at any stage, and originals produced on the interview date
  • UPSC and NDA: verification only after the candidate qualifies for the interview or the SSB
  • Delhi Police and CAPF notices: DV held beside the physical and medical tests
  • Crucial dates compared: closing dates, interview dates and certificate issue windows
  • Notices this chapter does not state: IBPS, defence entries other than NDA, and most state bodies

The Stage Map: Who Checks Originals and When

The UPSC and SBI notices in this book start from one premise: admission is provisional until the originals are checked. UPSC Civil Services Examination 2026, para 1, calls admission "purely provisional subject to satisfying the prescribed eligibility conditions", and says an e-Admit Card does not mean candidature is finally cleared. SBI clause 8 says the same of call letters. DV is the point at which a provisional entry becomes confirmed, so the question for each body is when its notice places that point.

Three things vary by body: who runs DV, where DV falls in the process, and when the notice first examines originals. The table records all three from the notice paragraphs. Four SSC notices put DV after the final result; three SSC-run notices hold it beside the physical or medical stage. The RRB places it after the CBT and PET, and SBI may verify at any stage under clause 12, although clause 8 ties the originals check to the interview shortlist.

Commission Exams: Verification After the Final Result

In the four SSC notices of this track (MTS 2025, JE 2025, Steno 2025 and CGL 2026), user departments or organisations conduct DV "after declaration of the final result" (MTS para 16.1; JE para 16; Steno para 17.1; CGL para 15.1). The Commission recruits against vacancies that user ministries report and has no role in determining them (MTS para 16.2). It forwards selected candidates' dossiers only after the result, and the user ministry must accept them and may not return one for non-availability of horizontal vacancies or for a horizontal dossier the Commission has not provided. The candidate's calendar is therefore: result, dossier forwarded, DV, posting.

Steno 2025 adds a venue rule: every candidate called for DV appears in the office of the user department to which the post category belongs (para 26, item (z)). A candidate who has applied for several posts should check which department each post belongs to before the call arrives. Claims are tested at the same point. Steno para 17.6, MTS para 16.6 and JE para 16.6(xi) say that a claim not substantiated by certificates at DV leads to cancellation of candidature, so each claim stays provisional until the originals are seen.

Railway Boards: Calls Equal to the Vacancies

CEN 09/2025 lists four stages in a fixed order: Computer Based Test (CBT), Physical Efficiency Test (PET), Document Verification (DV) and Medical Examination (para 14.0(b)). Instruction 1 says the same, that the PET is "followed by Document Verification and Medical Examination". Para 14.3 sets the number called to DV at the notified vacancies, a 1:1 ratio, after CBT performance and subject to PET qualification. Chapter 3 works the call numbers. A later RRB notice may change the order, so the sequence must be read from the CEN in hand.

The appointing authority is a different body from the one that runs DV. Para 14.3 says RRBs and RRCs "only recommend names of the empaneled candidates", and that appointment "is offered ONLY by the respective Railway Administrations", after a medical fitness test and further certificate and antecedent checks. A candidate who clears DV has therefore not been appointed. The same paragraph warns that fraudulent claims about category or disability status lead to disqualification and debarment. Chapter 3 covers the checks that follow.

The originals rule in para 14.3 is strict. Candidates "will have to produce their original certificates" at DV, "No additional time will be given", and a candidate who does not produce them on the date of verification is "liable to be forfeited". The notice attaches that consequence to the verification date itself, which is why the calendar matters. The Graduate notice CEN 05/2024 states the underlying principle at para 1.3: originals are checked only after qualifying in all stages and shortlisting for DV. CEN 05/2024 is used for that principle alone.

Banking: Verification at Any Stage

SBI's Probationary Officer advertisement CRPD/PO/2026-27/09 is the one banking notice verified for this edition. Clause 8 sets the default: verification with original documents happens "only after the candidate has been shortlisted for the Interview and/or at later stages". Clause 11 has three phases, and the interview sits in Phase-III, so originals are reached there at the earliest. A candidate not shortlisted after Phase-II never reaches that point. Clause 12 is a separate power to verify at any or all stages, earlier if the Bank chooses.

The interview is where originals are produced in practice. Clause 24 requires the originals it names "on the date of interview" (Chapter 4 lists them), and says a candidate "will not be allowed to attend the interview" without them. Clauses 37 to 40 repeat the rule for OBC, EWS, SC/ST and PwBD candidates. IBPS is not stated here, because its notices could not be retrieved; the reader should check the IBPS notice for the exam applied for.

UPSC: Originals After the Qualifying Stage

The UPSC Civil Services Examination 2026 notice (No. 05/2026-CSE) states the rule in para 1: verification "with reference to original documents" comes "only after the candidate has qualified for Interview/Personality Test". Para 7 repeats it in the e-Admit Card paragraph, adding that the card does not mean candidature is finally cleared. Note I to para 3(III) attaches the degree-proof requirement to candidates declared qualified for the interview, to be produced within the Rule 13 time limit, which Chapter 5 covers. A candidate who has only cleared the Preliminary Examination has not reached the trigger.

The NDA and Naval Academy Examination (II) 2026 notice (No. 10/2026-NDA-II) applies the same principle in para 8(iii), where verification is taken up "only after the candidate has qualified for SSB/Interview/Personality Test on the basis of the results of the Written Examination". Note 11 adds that written-test passers "are not required to submit their original certificate of age and educational qualification" to the Directorate General of Recruiting or Naval Headquarters. Note 10 gives the written result as "likely to be declared in the month of October, 2026".

CDS, AFCAT, and the Army, Navy, Air Force and Agniveer entries were not verified in this edition, so this chapter gives no DV stage for them, and the Note 11 position does not carry over. Read the DV clause of the entry's own notice, which governs for that cycle. Note 11 governs only the examination its notice covers. Dates in these notices also change from one cycle to the next, so a 2026 date should never be carried into a later advertisement.

Police and Paramilitary: Verification Beside the Physical Tests

The Constable (Executive) Delhi Police 2025 notice lists its process as Computer-Based Examination, PE&MT/DV and Medical Examination (para 16.1). Para 15.1 requires DV for CBE-shortlisted candidates who "qualify all the events of PE&MT", conducted by the Delhi Police. Para 16.9 ties DV to the time of the PE&MT, and para 16.7 holds both "in Delhi only". Merit decides who is shortlisted for PE&MT/DV (para 16.6), but the qualifying events decide who must appear. A candidate who fails any PE&MT event falls outside that group. Chapter 6 takes the sequence in full.

The Sub-Inspector notice of the Staff Selection Commission (2024) places DV with the medical stage. Section 15 is headed "Document Verification (DV) to be done by CAPF during DME/RME", and para 12.1 makes Paper-I, PST/PET, Paper-II and the DME mandatory. Para 15.3 asks candidates to appear with photocopies and originals "as and when asked by the concerned authority(ies)". Para 15.1 keeps the dossier rule, under which dossiers reach user departments only after the final result. Its DV sits with the DME/RME, so the timing differs from the Delhi Police notice, where DV sits with the physical test.

The Constable (GD) in CAPFs and SSF, and Rifleman (GD) in Assam Rifles 2026 notice follows the same pattern. Para 14.1 lists CBE, PET, PST, DME/RME and Document Verification in order. Para 14.7 says DV "will be conducted by the CAPFs along with the Detailed Medical Examination", and paras 14.5 and 14.6 shortlist PET/PST qualifiers on CBE merit at about two times the vacancies. Chapter 8 covers the document list and the NCC bonus; Chapter 6 covers the Delhi Police and Sub-Inspector notices in depth.
