Resume Writing Guide 2026: From Evidence to a Complete Resume

Write a résumé from evidence, then match it to the role

A useful résumé helps a reader connect a job's requirements with work you can explain. Start with what you actually did, select the relevant evidence, and make the document easy to read. Adding every keyword in an advertisement can create claims you cannot defend at interview.

This guide takes one fictional candidate from an evidence inventory to a complete résumé, then changes the document for a different role. The candidate, institutions, employer and job descriptions are invented teaching examples. They are not vacancies, customer results or templates copied from an institution. Replace every contact placeholder before using the structure yourself.

Harvard's career guidance recommends specific, factual language, consistent formatting and a résumé tailored to the position. It also recognises that conventions vary between countries. These are useful editorial principles, rather than universal rules for every Indian employer or a guarantee of an interview. Read the Harvard résumé guidance.

Step 1: separate the role's tasks from its requirements

Our fictional vacancy is for a junior catalogue operations assistant. Its tasks are to check product records against supplied source sheets, record discrepancies, prepare spreadsheet handovers and ask a supervisor about unresolved entries. It requests spreadsheet familiarity and clear written communication. No SQL requirement is supplied.

The candidate, Candidate A, completed a BCom in June 2026 and a supervised catalogue internship from July to September 2026. A useful first question is: which evidence shows the requested tasks? Listing SQL because some other operations jobs request it would not answer that question.

Keep a separate private record of requirements you have not established: work location, shift pattern, employment terms, application format and any mandatory qualifications. A résumé cannot settle those unknowns. Read the actual advertisement and application instructions before treating a practice description as equivalent to a real job.

Step 2: build an evidence inventory before choosing bullets

These are the complete facts supplied for the example:

  • Candidate A checked 36 assigned catalogue records against supervisor-provided source sheets during the internship. The candidate entered proposed corrections in a discrepancy log; the supervisor made final approval decisions.
  • The log contained eight discrepancies: five unit-label differences and three missing descriptions. The supervisor approved five unit-label corrections and returned the three description entries for further information. No subsequent outcome for those three is supplied.
  • Candidate A prepared four weekly handover notes identifying checked records, unresolved entries and the next requested action. There is no measured time saving or sales result.
  • In a separate college practice project in April 2026, Candidate A used spreadsheet filters and a lookup formula on a fictional 24-record stationery catalogue, then wrote a short note explaining unmatched identifiers. This was coursework, not employment.
  • The BCom was awarded in June 2026. No grade, award, certification, SQL experience or team-management responsibility is supplied.

The résumé should not turn eight flagged discrepancies into eight implemented fixes. It should not call supervised checking an independent audit or the college project a client engagement. Those changes would alter ownership and outcomes, even if the resulting sentences sounded more impressive.

For your own inventory, retain a private source for each number and date. A permitted work log or your own project record may help you reconstruct a claim. Do not attach confidential employer records to a public application. When a result is unknown, describe the action and output you can establish.

Step 3: choose and order the evidence

For this role, the supervised checking and discrepancy log belong near the top. The project adds evidence of spreadsheet use but remains under a separate heading. The degree needs an accurate completion date. A skills section can name spreadsheet filters and lookup formulas because the example supplies actual use.

Exclude unsupported claims such as “advanced Excel expert,” “reduced catalogue errors by 40%,” “managed a team” and “increased revenue.” None follows from the inventory. Also exclude an objective about becoming a software engineer: it would distract from the catalogue role rather than explain this application.

You do not have to invent a numerical result for every bullet. A clearly identified output, such as a handover note or discrepancy log, can demonstrate a contribution. The reader should understand what you produced, what part you owned and where someone else had authority.

A complete résumé for the fictional catalogue role

The following is the full example document. Contact fields and names in brackets are placeholders, not working contact details.

Step 4: revise it when the target role changes

Now consider a different fictional vacancy: a junior documentation assistant preparing internal handover notes. It asks for clear summaries, accurate unresolved-item reporting and basic spreadsheet use. It does not ask for copywriting, social media campaigns or customer support experience.

Keep the factual dates, degree and counts. Change the target line to “Junior documentation assistant.” Replace the summary with:

BCom graduate with experience preparing four weekly handover notes during a supervised catalogue internship. Documented checked records, unresolved entries and requested next actions. Used spreadsheets to support record checking and a separate college practice exercise.

Move the handover bullet above the record-checking bullet. The practice-project note can also come before the formula detail. This changes emphasis without inventing work. The full résumé still distinguishes employment from coursework and proposed corrections from supervisor-approved changes.

Do not relabel the internship “Technical Writer” to match the new advertisement. If an employer requires professional documentation experience beyond what you have, that remains a gap to assess. A different ordering of genuine evidence cannot convert a missing qualification into an established one.

Step 5: check readability and the actual application instructions

Use descriptive headings and a layout in which a reader can follow names, roles, dates and bullets. Export the requested file type, reopen it, and inspect what appears. If the system lets you preview parsed fields, check that names and dates entered the intended fields. A successful upload alone does not prove correct parsing.

Copying the document's text into a plain text editor is a useful local readability check. It can reveal missing text or a confusing reading order. It does not certify compatibility with every applicant tracking system. Avoid treating a commercial checker score as a promised employer decision.

Check contact details separately from grammar. Open each portfolio link yourself, confirm that the destination contains the work you intend to share, and remove placeholder links. Follow the employer's instructions about photos, references and supporting documents instead of assuming one convention applies to every role.

Step 6: prepare to explain every claim

For the catalogue example, an interviewer might ask why three entries remained unresolved. A faithful answer is that the descriptions lacked sufficient information and the supervisor requested further details. Claiming that all eight were resolved would conflict with the résumé's evidence.

Practise explaining one bullet in a short sequence: the assigned task, your action, the output, another person's decision and the remaining limit. Maintain a private application log containing the actual role, document version, submission date and response. Responses help you decide where to investigate further, but a callback or rejection alone does not isolate the résumé's effect. Role fit, eligibility, timing and employer decisions may also matter.

Common résumé questions

What should a fresher include without employment experience?

Use genuine projects, coursework or volunteering relevant to the role, identifying them accurately. Describe what you made or checked and your contribution. Do not manufacture an employer, client or internship to fill space.

Should every bullet contain a percentage?

No. Use a percentage only when you know its denominator, comparison and source. Five approved corrections among eight flagged entries describes this example's review outcome; it does not measure an overall error reduction.

How long should the document be?

Choose enough space to present relevant evidence clearly and follow any employer limit. The short example fits a compact résumé because the evidence is limited. Length is not an independent measure of quality.

Can I use AI to improve the wording?

If permitted, ask it to shorten supplied facts or identify unclear phrasing. Check every rewritten date, title, number and outcome yourself. Keep private or confidential information out of tools you are not authorised to use.

What should I do before submitting?

Read the actual instructions, replace every placeholder, verify the exported file and prepare an explanation for each bullet. Save the submitted version so that later interview preparation uses the same claims.
