Select evidence against the stated role

Harvard's cover-letter guidance recommends tailoring the letter to the organisation and position, using relevant concrete examples and keeping it factual and concise. Its advice supports connecting evidence to requirements; it does not establish a guaranteed interview effect or make its institution-specific advising available to every reader.

Read the actual application instructions first. Is a letter requested? Is there a stated length, format, question or submission field? Follow those requirements rather than assuming that every experienced application uses the same one-page attachment.

Experience length is only one part of the evidence. A role may require a qualification, a particular system or decision authority that your previous position did not establish. A persuasive letter should not conceal an essential gap or imply that enthusiasm waives the requirement.

Build one complete original career record

The following people, employer and role are fictional. Farah has six years of document-control support experience at Example Works. She checks document identifiers and revision labels before internal handover. A release manager approves which version may be issued; Farah does not approve budgets, manage staff or authorise a release.

In one supplied six-week review period, Farah checked twenty-four handover packets. She recorded three mismatched revision labels, referred them to the release manager and rechecked the corrected packets after the manager confirmed the applicable versions. The record establishes those checks and corrections. It contains no revenue, cost saving, customer satisfaction or cycle-time measurement.

She also wrote a short internal checklist describing the identifier and revision checks. The release manager approved the checklist for the team's use. The record does not establish that it eliminated future errors or that Farah led an organisation-wide transformation.

These facts are enough for an example. Do not add a prestigious client, certification or percentage improvement merely to make them sound senior.

Map the role's criteria to the supplied evidence

Suppose a fictional Document Control Specialist opening emphasises checking revisions, documenting exceptions and working within a release-approval process. Its supplied instructions request a concise letter with application reference DC-24 and an accompanying resume. In this fictional case, Farah has checked and included her resume with the letter. These are practice instructions, not a live employer's process.

The examples explain Farah's contribution and boundaries. The letter does not promise to reproduce a previous company's revenue growth or describe routine checking as budget or release authority.

In a real application, use your own verified details and the actual required contact information. Do not submit fictional organisations or a claim that a resume is included when it is not.

Inspect every number before retaining it

The supplied three mismatches among twenty-four packets could be expressed as 12.5% for that review set. That is not a measured reduction in errors, because no comparison period or baseline is supplied. The letter therefore keeps the counts rather than claiming a percentage improvement.

Six years describes the supplied experience duration. Six weeks describes one reviewed period. Do not blend them into a claim that twenty-four packets represent the candidate's entire work history or that three was the organisation's total discrepancy count.

If you cannot substantiate a figure, remove it or describe the verified contribution without it. A factual explanation of your action is preferable to an impressive number whose denominator, period or attribution is missing.

Change the wording when evidence is missing

Suppose a revised record says the checklist was drafted but has not yet been approved. The letter's sentence must change to: “I drafted a checklist for the identifier and revision checks; its approval is still pending.” It must not retain “approved for the team's use.”

Suppose the three corrected packets have not been rechecked. Then write: “I recorded three mismatched labels and referred them to the release manager; verification of the corrections is pending.” A planned check is not a completed result.

Suppose the role requires a specific document-control system Farah has not used. She can state her relevant checking experience, but cannot add the system name as an established skill. Check whether the requirement is essential and whether the employer permits candidates with a learning gap; a cover letter alone cannot answer that policy question.

These variants preserve the application purpose while changing the claims to match the actual record.

Connect motivation to verified responsibilities

Interest can be grounded in the described work: “The role's emphasis on revision checks and documented exceptions interests me.” Avoid inventing the employer's expansion plan, values or client projects from a familiar brand name.

If you refer to an actual announcement, verify it and explain why it is relevant. Do not say you know the company's current priorities simply because a template asks for a culture-fit paragraph.

A closing can express willingness to discuss the role and thank the reader. It does not need to demand a call at a time the employer has not offered. Follow the actual submission and contact instructions.

Check the final application as a package

Compare the letter with the resume. Dates, titles, experience and ownership should agree. Inspect the exported file for missing text, broken spacing or an incorrect recipient. Check that attachments and references match the application instructions.

Use material you are entitled to disclose. A client identity or internal document is not automatically suitable for an application. The original example uses fictional records; a real candidate should select permitted evidence and describe confidential work appropriately.

If the employer asks for salary expectations or another specific question in the application, follow that instruction with an accurate response. Common experienced-cover-letter questions

Must I lead with a revenue percentage? No. Use a relevant contribution with evidence. Not every role has measured revenue responsibility.

Should I repeat my entire resume? Select the examples most relevant to the role and explain their connection.

Can experience replace an unheld required qualification? Do not assume so. Check the actual essential criteria and employer instructions.

Does a checklist prove an improvement? Its creation or approval does not establish a measured effect without evidence of that effect.

Will this letter guarantee an interview? No outcome guarantee is established. Its purpose is an accurate, relevant application.
