A promotion salary discussion is clearer when you can explain the proposed role, show relevant work and identify exactly which pay terms need a decision. A new title, additional responsibilities and an approved salary increase may occur at different times. Treat each as a separate item until the authorised employer confirms it.
For an employee in India, useful preparation includes the employer's actual review process, your current written compensation terms and a specific proposal. This guide develops a complete internal promotion example. It does not establish a standard promotion percentage, legal entitlement or guaranteed negotiating result.
Identify the decision you are asking for
Before choosing a number, distinguish three possible requests:
- Review whether your existing duties fit the current role or grade.
- Consider you for a defined higher role with different responsibilities.
- Review pay within the existing role under the employer's process.
These requests may connect, but a manager agreeing that your workload has grown does not necessarily approve a new grade. Ask who can decide each item, what evidence they need and when the decision can be recorded.

In this fictional exercise, Nikhil works as an operations coordinator. He is proposing a senior coordinator role. The supplied record is deliberately limited:

Nikhil should bring the relevant permitted records to the review. He should not present confidential operational files externally as bargaining material. If a result was produced by a team, identify his contribution and the team's role separately.
The strongest claim in this record is specific work completed. “I transformed operations” would exceed the supplied evidence. “I prepared three monthly handover summaries reviewed by my manager” is accurate and gives the reviewer something to inspect.
Describe the proposed role, including authority
Nikhil's original proposal is:
Proposed role: senior operations coordinator. Continue monthly handover summaries; coordinate the handover schedule; prepare a weekly unresolved-item note; and provide an agreed induction session for the incoming coordinator. The operations manager would retain staffing, spending and performance decisions. I am asking whether this scope fits a senior role under our process and what evidence would be needed for approval.
This proposal does not assume that Nikhil can approve shifts, spend money or evaluate another employee. If the employer expects those duties, the scope, support and authority need explicit discussion. A responsibility without the necessary access or decision authority can create an unclear working arrangement.
Also ask what work would stop or move elsewhere. Adding every new task to the existing workload is not a complete role plan. Identify supervision, training, workload expectations and a way to review whether the arrangement is practical.
Compare fixed pay before combining the package
The exercise supplies current fixed annual pay of ₹6,00,000. Nikhil proposes fixed annual pay of ₹6,72,000 for the higher role. Both figures are before employee deductions; they are not monthly bank credits.

Twelve percent is Nikhil's fictional proposal. It is not a typical increase, an amount the employer owes or a result achieved by this conversation. If the actual package has another payment schedule, compare it using its own written terms.
The current record also mentions a conditional annual bonus opportunity of ₹30,000. The proposed role's bonus terms have not been supplied. Do not add ₹30,000 to guaranteed pay or assume it continues unchanged. Record the conditions and payment history separately from fixed pay, and ask for the proposed terms.
Benefits such as insurance, leave or employer retirement contributions also need separate descriptions. Their value to the employee is not automatically cash available for monthly expenses. An equity award needs its own terms and risks; a headline grant figure is not a guaranteed bank payment.
Separate annualised pay from the effective date
An annual salary figure describes a rate over a full year. It does not mean that the entire annual difference will be paid in a shorter remaining period.
For arithmetic only, suppose a later written approval specifies 1 October as the effective date, a January–December comparison period and three equal monthly payments at the new rate in that period. The extra fixed pay for those three months would be ₹6,000 × 3 = ₹18,000. The full-year annualised difference remains ₹72,000.
That conditional scenario does not supply an actual approval for Nikhil. His real example still has no confirmed effective date. Retroactive pay, payroll cut-offs, variable pay and deductions are not established by this calculation. Obtain the applicable terms rather than inferring them from an annual percentage.
Make a complete request
Nikhil can present the evidence and ask for a decision without pretending another offer exists. An original written request could read:
I would like a review of the proposed senior coordinator scope described below. My recent work includes three manager-reviewed handover summaries and the eight-entry correction log. I would continue that work and add the agreed scheduling, unresolved-item note and induction responsibilities, with staffing, spending and performance authority remaining with the operations manager.
I propose fixed annual pay of ₹6,72,000, compared with my current ₹6,00,000. That is a ₹72,000 annualised difference, or 12% of current fixed pay. I understand the role and pay need approval. Could you confirm the review process, the decision-maker and whether this scope fits the intended grade? Please also clarify proposed bonus and benefit terms, workload changes and the effective date if approved. I can provide the permitted work records for review.
The letter is a request, not an acceptance document or a claim that all duties have already been assigned. Keep the supporting evidence short enough to assess, and let the employer identify missing information.
Interpret the reply accurately
The supplied fictional HR reply says:
We can arrange a role review with your manager next week. Please bring the current role description and the handover examples. We will review the proposed scope before deciding whether a grade or pay change should be considered. No change to your title, pay or effective date has been approved.
This reply confirms a review meeting. It does not approve the proposal. Nikhil's decision record should show:

After the meeting, Nikhil can send a factual recap of what was decided and ask the relevant person to correct misunderstandings. Silence is not approval. Do not change your resume or public title on the basis of a proposed internal review.
Handle a partial or negative decision
If the employer declines the pay request, ask which part was declined and why: role scope, grade, budget, evidence or timing. If a future review is offered, record its date, criteria and decision-maker. “We will revisit this” is not a promised increase.
If more evidence is required, agree what work would demonstrate the criterion and whether the proposed duties are actually authorised. Avoid committing to undefined extra responsibilities solely on the assumption that a future raise will follow.
You can then assess the written result against your workload, goals and finances. A decision to stay, seek another role or decline a proposal depends on your circumstances; this fictional guide cannot make that choice for every reader.
