Reviewed: 9 October 2026. The interview, employer, candidate and messages below are original fictional examples. None has been sent, and no response or hiring outcome is supplied. Follow the actual employer's contact instructions and timeline.
Choose the purpose before sending a follow-up
An interview follow-up can express appreciation, ask about a permitted status update or correct a factual statement. Those are different purposes. Sending every possible message automatically can repeat information or ignore the employer's actual instructions.
Yale's correspondence guidance describes a thank-you letter as appreciation that can reinforce interest or expand on an interview discussion. That is narrow preparation guidance. It does not guarantee a response, establish a universal follow-up deadline or give permission to bypass a recruiter's stated contact route. All messages below are independently authored examples.
Before drafting, check what the interviewer actually said, which contact route was provided and whether a decision date or no-contact instruction exists. If you cannot verify a discussion detail, do not invent it to make a message feel personalised.

The fictional candidate is Pranav Shah. He interviewed for a Logistics Records Assistant role, reference LR-08, at Cedar Route Services. The supplied record says the interview discussed checking dispatch-sheet entries against a supervisor's source list and flagging missing quantities. It does not describe a selection decision.
The recruiter supplied one application-message channel for correspondence. The record says the employer expects to provide an update by the end of the following Friday and permits a status enquiry on the next working day if no update has arrived. No calendar dates or holiday schedule are supplied. Use those actual relative instructions in the exercise, rather than inventing a date.
Pranav's genuine experience within this fictional record is a volunteering activity: he compared eight supplied entries, flagged two missing quantities and received the quantities from the coordinator before updating the sheet. He did not independently count physical stock. During the interview, he mistakenly said he had verified the physical quantities himself. That material error needs a truthful correction; it should not be repeated in a thank-you message.
Example 1: an appreciation message
Subject: Thank you — Logistics Records Assistant, LR-08
Hello Recruitment Team,
Thank you for discussing the Logistics Records Assistant role with me. The conversation about comparing dispatch-sheet entries with a supervisor's source list helped me understand the care required when identifying missing information.
I remain interested in the role's stated records work. My volunteering activity gave me practice in comparing supplied entries, flagging gaps and making updates after the coordinator provided the missing details. I would welcome the opportunity to learn your actual procedures.
Thank you for your time. I will use the application-message channel you provided and follow the update timeline described during the interview.
Regards,
Pranav Shah
This is a proposed appreciation message. Its experience statement matches the supplied activity and does not claim an offer or new skill. Because the record includes a material interview error, the correction example below is also relevant; appreciation alone should not leave that error unaddressed.
Example 2: correct the inaccurate claim
Subject: Clarification of interview statement — LR-08
Hello Recruitment Team,
I would like to correct one statement I made during our interview for the Logistics Records Assistant role. I said that I had independently verified physical quantities in my volunteering activity. That was inaccurate.
I compared eight entries against the supplied source list and flagged two missing quantities. The coordinator provided those quantities, and I updated the sheet. I did not perform a physical stock count or independently verify the underlying quantities.
Please treat this clarification as the accurate description of my contribution. I remain interested in the role and understand that you will assess my experience against its requirements.
Thank you,
Pranav Shah
The correction identifies the inaccurate statement, supplies the true contribution and asks that the clarification replace the earlier description. It does not claim that the error was harmless, that the employer accepted the correction or that it improved Pranav's chances.
In a real situation, check the actual facts carefully and use the authorised channel. Do not add a confidential worksheet or personal data to prove a point unless the employer requests appropriate evidence and you are entitled to share it. This exercise supplies no permission or request for such an attachment.
Example 3: a permitted status enquiry
This example applies only to a hypothetical later state: the stated update period has ended, the next working day has arrived and no update has been received. Those conditions are not established by the original interview record; they are explicit inputs for this variant.
Subject: Status enquiry — Logistics Records Assistant, LR-08
Hello Recruitment Team,
I am following up on the Logistics Records Assistant application, reference LR-08. During our interview, you indicated an update by the end of the following Friday and permitted an enquiry on the next working day if no update arrived.
In this follow-up, I am checking whether there is an updated timeline or any further information you need from me. I remain interested in the role and will continue to use this application-message channel as requested.
Thank you for your consideration.
Regards,
Pranav Shah
The message asks about the state or timeline without claiming that an unanswered application is rejected. It does not demand a decision or announce an invented competing offer. No response is supplied, so the example cannot establish that this enquiry produced an update.
Match each message to its actual state
| Purpose | Required context and limit |
|---|---|
| Appreciation | A real discussion occurred; reference only verified details and interest. |
| Correction | A material statement was inaccurate; replace it with the actual contribution without inventing acceptance. |
| Status enquiry | The employer's permitted enquiry conditions have been met; ask about status or timing without assuming a decision. |
The correction is relevant because the fictional record explicitly includes an error. The status enquiry is conditional on the later state. The exercise does not recommend sending all three messages in succession regardless of circumstances. Consider whether a concise combined appreciation and correction would better communicate the actual purpose in a real case, while preserving the clear correction.
Interpret an acknowledgement narrowly
Suppose a hypothetical reply says, “Your clarification has been received.” That would confirm receipt of the clarification. It would not establish that the panel agrees with every claim, has updated its assessment or has selected the candidate.
A different hypothetical reply might give a revised update date. Record that actual new date and adjust any proposed status enquiry accordingly. Do not keep applying an old timeline after an authorised current instruction changes it. If the reply asks for information, answer the actual request rather than repeating the appreciation message.
Neither reply occurred in the supplied example. They show how to separate receipt, information requests and selection outcomes, not how to claim a successful follow-up.
Avoid inventing permission from silence
No response does not grant permission to contact an interviewer's private account, send repeated messages across platforms or disclose confidential work. The original record supplies one contact channel. Use that channel and the actual timeline.
If a real employer provides no expected update date, ask for its preferred next steps when appropriate rather than asserting a universal one-week rule. A general career-service suggestion cannot override an explicit no-contact instruction or a vacancy's actual process.
Do not fabricate urgency or an offer to elicit a reply. If a genuine deadline affects your decision, state the actual deadline and its relevance truthfully through the authorised route. This fictional record contains no competing offer or external deadline.
Keep a preparation record with honest states
Record which message is drafted, whether it has actually been sent, the authorised route and any response received. A saved draft is not a contact attempt. An automated receipt is not a personal assessment. A message containing a corrected claim is not proof that every underlying qualification has been verified.
Review the final text for the role reference, candidate facts and the purpose of the message. Remove unsupported details about the employer's mission or the interviewer's interests. Personalisation should come from an actual discussion, not guessed information from unrelated pages.
For keeping contributions accurate, see the STAR method guide. For matching recipients, attachments and action requests to a brief, use digital communication etiquette. Neither establishes a hiring decision.
Frequently asked questions
Should I send a status enquiry immediately after an interview?
Use the employer's actual instructions. In this exercise, a status enquiry is permitted only after the stated update period and on the next working day if no update arrived.
Can a follow-up correct an interview mistake?
It can communicate the accurate facts through an authorised channel. It cannot guarantee how the employer will assess that correction.
Does silence mean rejection?
The supplied record does not support that conclusion. Keep the status unknown unless the employer actually communicates a decision.
