Business Letter Format: Complete Letter and Email Examples

Reviewed: 9 October 2026. A business letter should let its recipient identify the purpose, relevant facts and requested action. The original examples below show a usable layout and a complete correction request. Follow a recipient's prescribed form or organisational template where one exists.

Use a format that serves the recipient's instructions

Purdue OWL's basic business-letter guide describes common letter elements and block and modified-block layouts. It also explains that organisations' requirements vary and its examples are guides. That supports using a clear conventional layout; it does not make one font, punctuation style or American date convention mandatory in Indian workplaces.

For a simple block letter, keep the main elements aligned to the left and separate paragraphs visibly. Include the sender or letterhead details, date, recipient, salutation, body, closing and any actual enclosures. Adapt these elements to the communication rather than forcing every message into a postal-letter template.

If an application requires a prescribed form, a polished letter does not replace that form. If an organisation supplies a template, use its required fields. Do not add a claim about legal validity, notarisation or acceptance merely because your letter looks formal.

Establish the facts before writing the request

The following scenario, organisation names and records are entirely fictional. A student club has approved a non-sensitive print order for twenty event cards. The coordinator approved version two of the specification: cards should show the event date as 24 October 2026. A supplier's proof still shows 21 October 2026 from version one.

The club's order contact, Kavya Rao, may request a corrected proof against the approved specification. She is not authorised in this exercise to change quantities, prices or other approved terms. She has a copy of the approved specification to enclose. The supplier has not yet replied or corrected the proof.

Enclosure: Approved specification, version two, 8 October 2026

The letter states the mismatch, identifies its source and asks for an answer the recipient can provide. It does not accuse the supplier of carelessness, promise a deadline that was never agreed or claim the corrected proof has already been approved.

Understand the purpose of each element

The sender identifies the relevant contact. In a real letter, use the appropriate actual address or letterhead details required for that communication. Do not copy the fictional organisation or insert someone else's details from an example.

The date records this letter's date, while the body separately identifies the specification and proof dates. Writing the month out helps distinguish those dates without depending on an ambiguous numeric order.

The recipient and subject identify the team and task. Where you know the responsible person's preferred name or title, use it accurately. If you do not, an appropriate team or role may be clearer than guessing a person's gender or qualification.

The body has three jobs: state the request, show the evidence and clarify the next action and its limits. The closing identifies who is writing and in what capacity. The enclosure line describes a document actually included; it is not a decorative claim of thoroughness.

Check attachments and authority before sending

Open the document you intend to attach. Does it contain version two and the correct event date? Does its name match the enclosure line? Has it been approved by the person identified in the scenario?

If the approved specification is unavailable, do not retain “is enclosed” in the letter. A revised sentence could be: “I am checking the approved specification with the coordinator and will provide the confirmed version before requesting a replacement proof.” That changes the task: you are gathering confirmation rather than presenting evidence you do not yet have.

If your colleague asks for thirty cards, the order contact cannot represent that as an approved quantity in this exercise. She should ask the coordinator to decide and identify whether the specification has changed. A factual letter reflects the current authorised instruction, not every informal suggestion.

Check the actual recipient address, delivery channel and any required reference. A correct format cannot compensate for sending a document to the wrong person or attaching the wrong version.

Adapt the example to an email without losing the facts

If the recipient asks for email, a concise original version could be:

Subject: SC-18 — corrected event-date proof requested

Dear Proof Review Team,

The proof received on 9 October shows 21 October 2026.
Please revise the event date to 24 October 2026, as shown in
the attached approved version-two specification dated 8 October.
The approved quantity remains twenty cards.

Please confirm when you can provide a corrected proof for the
coordinator's review. The existing proof is not approved for printing.

The email still distinguishes a request from approval. Use “attached” only after confirming that the correct file is actually attached. The email example is not evidence that the supplier has received or accepted anything.

A follow-up after no reply should accurately state that status: “I am following up on the correction request for SC-18. Could you confirm whether you received the specification and when a revised proof will be available?” Do not write “as agreed” if no agreement exists.

Revise wording that creates avoidable ambiguity

“Please fix the date immediately” leaves both the date and expected action unclear. “Please send a proof showing 24 October 2026 for review” identifies them. If you need a particular response time, state the request and ask whether it is feasible rather than representing it as an agreed commitment.

“Everything else is fine” may appear to approve more than you checked. “This request concerns the event date; the corrected proof remains subject to coordinator review” preserves scope.

“We are increasing the order” would be inaccurate when an increase is merely proposed. Say who needs to decide and keep the existing quantity in the current record.

Proofread names, references, dates, figures and file versions as carefully as grammar. A smooth sentence with the wrong order number still fails to communicate the intended task.

Use the same discipline for other correspondence

For an enquiry, identify the question and information needed. For an application, follow the specified process and connect truthful evidence to the role. For an interview follow-up, describe the actual conversation without inventing an offer or agreement.

Common business-letter questions

Must every letter use this layout? No. Use applicable recipient instructions and templates; the example is a clear starting convention.

Should I copy the example word for word? Replace the scenario with your actual facts, purpose, authority and documents. Do not send fictional records.

Can I list a document I will attach later? Distinguish a future promise from an attachment currently included.

Does a letter guarantee a reply or an interview? No response-rate or career-outcome promise is established here. Its value is an understandable and accurate request.
