Use an evidence note before editing

For each line, write the activity's setting, date, your contribution, tools actually used and any outcome you can support. Mark what was not measured. If the line refers to a team, identify which work was yours and which belonged to others.

Harvard's general resume guidance supports factual, specific language and careful presentation. The cases below are original editing exercises, not university templates or evidence that a particular sentence guarantees an interview.

Read the revision as someone unfamiliar with the project. Would they infer professional employment, full ownership or a completed qualification that the evidence does not establish? Accurate words can still create a misleading overall impression when their context is missing.

Case 1: a student assignment sounds like employment

Draft: “Financial analyst responsible for monthly management reporting.”

Fictional evidence: The candidate completed a college assignment using a supplied dataset and produced one summary report. They did not hold a financial-analyst job or prepare recurring reports for management.

Accurate revision: “Prepared a summary report from a supplied dataset during a college finance assignment.” If relevant, add the actual checking method or analysis performed. Place the line in a project or coursework section so its context is visible.

Reviewer question: “Who used the report, and what decisions did you personally make?” If it was a teaching exercise, say so. Do not imply a real business used the findings because that would make the line sound more impressive.

Case 2: an invented improvement percentage

Draft: “Improved processing efficiency by 50% through automation.”

Fictional evidence: The candidate created a spreadsheet with formulas and checked a few sample entries. They did not time a baseline process, measure a later period or implement an automated workflow outside the workbook.

Accurate revision: “Created a spreadsheet with category totals and checked sample entries for missing values.” This preserves the actual work without treating a formula as proof of a measured business improvement.

Reviewer question: “What was measured, over what period, and how was the comparison made?” If a result was not measured, remove the number. If an exercise used simulated data, retain that context when discussing any result.

Do not replace an unsupported percentage with another estimate to satisfy advice about quantifying achievements. A specific task can provide useful evidence without a metric.

Case 3: team output becomes individual ownership

Draft: “Built the complete inventory application from scratch.”

Fictional evidence: Four students built an application. This candidate implemented quantity validation and wrote tests for invalid inputs; teammates built the interface and storage functions.

Accurate revision: “Implemented quantity validation and invalid-input tests in a four-person student inventory project.” A second line can describe an integration decision if the candidate actually contributed to it.

Reviewer question: “Which component could you explain in detail, and which required a teammate's work?” Prepare an honest answer. Listing the whole stack under the project does not establish that you implemented every component.

Case 4: the qualification status is overstated

Draft: “Certified specialist in business analytics.”

Fictional evidence: The candidate has begun an online course called Introduction to Business Analytics. They have completed some modules but have not received a certificate or professional registration.

Accurate revision: “Introduction to Business Analytics course — ongoing.” Add the provider and relevant dates when appropriate. Only describe a completed certificate after checking its actual issued name and status.

Reviewer question: “What document has been issued, and what does it certify?” A completion certificate for a short course should not be relabelled as a professional licence or a different qualification.

Likewise, check degree status against your records. A resume cannot determine whether a pending qualification satisfies an employer's required completion date. For a prescribed recruitment process, verify the applicable notice separately.

Case 5: chronology is changed to hide a gap

Draft: “Operations assistant, January 2023–Present.”

Fictional evidence: The employment ended in August 2024. The candidate later prepared for examinations and completed a short practice project. They have no ongoing employment with that organisation.

Accurate revision: Restore the actual employment dates. Describe later activities separately where relevant and accurate. Use “Present” only for an activity genuinely ongoing, and do not extend employment to include unrelated preparation.

Reviewer question: “Does this date match the supporting employment record and the submitted application?” If there is an official application discrepancy, use the permitted clarification or correction process; quietly changing a resume does not correct that form.

Case 6: a job-description phrase replaces evidence

Draft: “Managed end-to-end stakeholder engagement and cross-functional delivery.”

Fictional evidence: The candidate collected availability updates from student volunteers, kept a shared schedule and referred unresolved clashes to an event coordinator. They did not manage commercial delivery or have authority over several departments.

Accurate revision: “Collected volunteer availability updates, maintained the student event schedule and referred unresolved clashes to the coordinator.” It identifies an action, output and authority boundary.

Reviewer question: “Which decision did you make yourself, and which required approval?” If the vacancy asks for broader responsibility, this example may show adjacent skills without satisfying the full requirement.

The AI tailoring edit checks are useful if a tool proposed the inflated wording. Apply the same factual standard to edits from a friend, writer or automated system.

Record the correction and the remaining question

Keep a short editing log so another reviewer can understand your decision. You do not need to record every spelling change; focus on edits that affect meaning.

An unresolved question should remain visible until you answer it. Do not accept a stronger sentence simply because the review is taking time. If the evidence is limited, narrow the claim and explain the context.

Check the document after the line edits

Read the whole resume again. Accurate individual bullets can still sit under a misleading heading, an incorrect date or a skills list containing abilities not demonstrated. Confirm that the document's overall story matches the records.

Frequently asked questions

Should every corrected bullet include a number?

No. Use a number when it is accurate, relevant and appropriately contextualised. A clear action without a fabricated outcome is useful evidence.

Can I use stronger verbs to improve the sentence?

Yes, when they accurately describe your responsibility. “Led,” “audited” and “automated” can change the claim substantially; check what you actually did before choosing them.

Can I copy the revisions in this clinic?

Use the reasoning to edit your own evidence. The examples are fictional, so copying their facts into your resume would create an inaccurate record.
